Privacy statement
Perlata delivers messages on behalf of organisations and records whether they arrived. This statement describes which data is processed along the way, who is responsible for what, and what you can do if you want something corrected or removed.
Who is responsible for what
This is the most important part of this statement, and the answer depends on the situation.
If you received a message through Perlata, the sender decided which data to give us and why. That sender is the controller and we are the processor, acting on their instructions. Questions about why you received the message, and requests to correct or remove its contents, belong with the sender. Their name is in the message you received.
If you joined the waitlist on this site, we are responsible ourselves. That is a separate processing with its own basis and its own retention period, described below.
What we process for a sender
To deliver a message and record the delivery, we process the following on the sender's instructions.
- Your name and email address, as the sender passes them to us.
- The subject, the contents of the message and any attachments.
- The ground on which the sender uses your address, with their substantiation and reference.
- The record of the delivery itself: what was sent and when, whether the receiving mail server accepted it, what was established about the recipient, and when the message was opened.
- Your address therefore comes from the sender rather than from you. That is the situation article 14 of the General Data Protection Regulation describes, and it is why the message you received states who we received your details from.
Where the data is
All data stays within the European Union, in Frankfurt. Amazon Web Services is our sub-processor for archive storage, key management and sending mail.
Personal data is stored encrypted, including inside the record of the delivery.
How long we keep data
For messages the default is seven years, and a sender can agree a different period for their own messages. The archive works in one direction only: a retention period can only be extended, and nobody can shorten it, including us.
Our backups are deliberately short at fourteen days, and they can be deleted. That is the opposite of the archive, so that restoring a backup cannot undo a removal.
Removal, and what it means
Every message is sealed under its own key. When a removal is requested we destroy that key, which makes the message and the personal data inside it permanently unreadable, including in copies we can no longer reach into and edit.
The rows of the record itself do not disappear, and that is deliberate: the record only grows and cannot be rewritten. So the fact that a delivery happened survives, while its contents do not.
A request to remove a message goes to the sender, because they decide whether they still need the data. We carry out their instruction.
The waitlist on this site
If you join the waitlist we keep your email address, the moment you signed up, the language of the page and the text you consented to, as it stood on screen at that moment. The basis is your consent.
We use that address only to tell you when Perlata opens. We keep it until launch and no longer than twelve months, and we do not pass it on. You can have it removed at any time via [email protected], and then it is gone.
What this site puts on your device
The signup form is protected by Cloudflare Turnstile, which places an item on your device to do that. It is necessary for the security of the form you are submitting yourself.
We measure visits with Plausible, on our own servers within the European Union. Plausible sets no cookie, does not recognise you, and no data goes to third parties.
Your rights
You have the right to see your data, to have it corrected or removed, and to object to the processing. If it concerns a message you received through us, address the sender; if it concerns the waitlist, address us.
You can also lodge a complaint with the competent supervisory authority, which in the Netherlands is the Autoriteit Persoonsgegevens.
